BostonCoach Launches Tool to Stop Unauthorized Corporate Travel Bookings


BostonCoach® Smart Systems ensures travel policy compliance, immediately flags and deny unauthorized users

BOSTON, October 28, 2010 — BostonCoach today announced the latest in a series of tools designed to help travel managers enforce corporate travel policy and reduce travel costs. BostonCoach® Smart Systems, a package of point-of-purchase compliance tools, enables organizations to import their travel reference fields into BostonCoach’s booking systems to enforce real-time traveler and service level compliance. The system also enables organizations to reconcile expenses faster and more easily.

How Smart Systems works
By using data provided by client organizations, BostonCoach® Smart Systems can validate orders in real time against specified compliance rules. Clients can define the specific information their employees must supply, such as cost centers, employee identification numbers or project codes, in order to successfully create a reservation. BostonCoach then uploads client data and compares against compliance rules when an individual attempts to make a reservation. If the criteria do not match, the booking is flagged and is not processed. The system is effective on all booking channels: reservations made by phone, as well as those that come through a travel agent, corporate booking tool, global distribution system or BostonCoach.com.

Faster, easier reconciliation
Smart Systems also enables organizations to reconcile expenses faster and more easily. Validation data provided by those who arrange travel is provided back to client organizations on invoices and reports, enabling travel managers, bookers or accounts payable staff to save time in reconciling expenses. Reports can even be provided as data feeds, enabling client organizations to automate expense reconciliation. For larger organizations, this can save hundreds of hours of manual expense-reconciliation processing.

Smart Systems works in conjunction with BostonCoach’s recently announced SmartReports to provide travel managers with 360-degrees of view and control of car-service usage. While Smart Systems helps travel managers avoid compliance issues before they happen, SmartReports provides more than 10 levels of analysis that help travel managers highlight where waste and pricing anomalies are occurring.
